PratikYedek for restaurants & cafés
A real scenario
A 4-location café chain in Ankara (anonymised reference: Café-G) suffered a ransomware infection on a local POS PC during a 2-day office-internet outage in May 2025. Six months of order data, the customer loyalty database and supplier invoice PDFs were encrypted. During a supply audit, when 3-month-old dairy/meat sourcing records were requested, the loss became apparent.
Root cause: Local-only backup; ransomware encrypted the backup on the same disk.
How PratikYedek solves it
- Desktop app on branch POS PCs — End-of-shift (00:00)
POS/data/snapshot. - Supplier PDF archive —
Supplier-Invoices/YYYY-MM/folder backed up on trigger (the moment a new invoice arrives). - Reservation DB — Hourly snapshots (changes frequently); 30-day retention.
- Customer loyalty PII — AES-256-GCM encrypted; KVKK § 11/e deletion requests applied selectively.
- Monthly restore drill — Restore one supplier-invoice category and compare with the current system.
KVKK + VUK + Food Codex alignment
- VUK art. 253: Supplier invoices kept 5 years → PratikYedek retention of 5+ years.
- Food Codex art. 18: Sourcing traceability for items like meat/dairy/eggs is required for at least 2 years; PratikYedek default audit retention covers it.
- KVKK § 12 (Turkey's GDPR-equivalent): Loyalty database (name, GSM, birthdate, order history) is PII → mandatory encryption.
Recommended plan
- Single-location café: Starter (50 GB is enough)
- Chain of 2-5 locations: Professional (250 GB + 2FA + 5-member team)
- 5+ locations + franchise: Enterprise (500 GB + 10-year audit + IP allow-listing)
FAQ
Are menu photos backed up? Yes — as a Menu-Photos/ folder. Content-addressed dedup keeps small variations of the same photo at minimal storage cost.
Can TripAdvisor / Yelp / Google Maps reviews be backed up? Not automatically. These live on third-party platforms; you can manually export and back them up (e.g. monthly CSV export → Reviews/).
A reservation guest asks for deletion. What happens? KVKK § 11/e selective deletion — all reservation records of the customer are removed from snapshots. The audit log keeps deletion evidence for 7 years.
Are New-Generation POS records backed up? They can be, but it is not necessary — GİB already holds them. PratikYedek is critical for management reports (best-selling items, hourly revenue, server performance).
Supplier invoices arrive on paper. How do I back them up? Scan them with a scanning app (CamScanner / Adobe Scan / iOS Notes) into Supplier-Invoices/. PratikYedek picks them up automatically.
